Privacy Policy
Privacy Policy for SalesCloser AI – September 2026
We respect your privacy regarding any information we may collect while operating our SalesCloser product and websites (collectively “SalesCloser”).
Website Visitors
Like many websites, we collect non-personally identifying information of the sort that web browsers and servers typically make available, such as the browser type, language preference, referring site, and the date and time of each visitor request. Our purpose in collecting non-personally identifying information is to better understand how our visitors use the website and to provide better content to our visitors. From time to time, we may release non-personally identifying information in the aggregate, e.g., by publishing reports on usage trends of the website.
Gathering of Personally Identifying Information
Certain users choose to interact with SalesCloser in ways that require the collection of personally identifying information. The type and amount of information collected depend on the nature of the interaction. For example, when visitors sign up for an account at https://salescloser.ai, we ask for a name and email address. In the case of transactions, additional personal and financial information may be required to process those transactions. We collect information only to fulfill the purpose of the user’s interaction with SalesCloser, and it is never disclosed except as described below. Users may choose not to provide personally identifying information, but doing so may prevent them from engaging in certain SalesCloser-related activities.
We also collect potentially personally identifying information like Internet Protocol (IP) addresses for logged in users. We only disclose logged in user IP addresses under the same circumstances that we use and disclose personally identifying information as described above.
Information From Connected Accounts and Integrations
SalesCloser allows you to connect your account to third-party platforms and services, including customer relationship management (“CRM”) platforms such as HubSpot and Pipedrive (each, a “Connected Platform”). When you connect a Connected Platform at sign-in, we access basic account identity information from that platform — such as your name, email address, and account identifier — to authenticate you and link your SalesCloser account. We use this information solely to provide and support the connection and the services you have requested. The data we can access is limited to the permissions you grant and those made available by the Connected Platform. You can disconnect a Connected Platform at any time to stop further access on a going-forward basis. Where you enable our CRM integration features, we also access and process records from your Connected Platform — such as contacts, companies, deals, and support tickets — to provide the features you have enabled. As part of those features we may create or update records on your Connected Platform, including writing call outcomes and lead-qualification information (for example call summaries, lead status, and suggested next steps) onto those records. If we later introduce additional integration features that access other information, we will update this Privacy Policy to describe them.
Text Message Data
Where a customer uses our AI text messaging feature, we handle information relating to the people they message: the content of messages sent and received, timestamps and delivery status, the recipient’s phone number and name, other details the customer provides about them, media the recipient sends, and clicks on links we shortened (“Message Data”).
Our customer decides who is contacted and what is said, so for Message Data the customer is the controller — the organization accountable for that personal information under applicable Canadian and other privacy laws — and we handle it as their service provider, on their instructions. If you received a message from an AI agent and would like to exercise your privacy rights, or ask how your number was obtained, the business that messaged you is best placed to help; you can also write to support@salescloser.ai and we will pass your request to them. To stop receiving messages, reply STOP.
We share Message Data with the service providers who deliver the feature: our telecommunications providers, currently Twilio and Telnyx, which transmit messages and keep message logs on their systems; the artificial-intelligence providers that generate the agent’s replies, including OpenAI, which process the content of each conversation for that purpose; and, where a customer connects a calendar, that provider. Processing may take place in Canada, the United States or other jurisdictions, with appropriate safeguards in place.
We keep Message Data while the customer’s account is active. It is deleted on the customer’s instruction or when their account ends, subject to any legal retention requirements; we keep a record of opt-outs, for as long as the customer’s account exists, so that we can continue to honour them.
Aggregated Statistics
We may collect statistics about the behavior of users. This information may be displayed publicly or provided to others. However, we do not disclose personally identifying information, except as described below.
Protection of Certain Personally Identifying Information
We may disclose potentially personally identifying and personally identifying information only to employees, contractors, and affiliated organizations who need to know that information in order to process it on our behalf or to provide services related to SalesCloser. Some of these employees, contractors, and affiliated organizations may be located outside your home country. By using SalesCloser, you consent to the transfer of such information to them. We will not sell potentially personally identifying and personally identifying information to anyone. Other than to its employees, contractors, and affiliated organizations, as described above, we disclose potentially personally identifying and personally identifying information only in response to a subpoena, court order, or other governmental request, or when we believe in good faith that disclosure is reasonably necessary to protect the property or rights of SalesCloser, third parties, or the public at large. If you are a registered user of SalesCloser and have provided your email address, we may occasionally send you emails to inform you about new features, solicit your feedback, or provide updates about SalesCloser. If you send us a request (e.g., through a support email or feedback mechanism), we reserve the right to publish the information to help clarify or respond to your request or to support other users. We take all reasonable measures to protect against unauthorized access, use, alteration, or destruction of potentially personally identifying and personally identifying information.
Use of Interaction Data for AI Model Improvement
We may collect information about how you interact with SalesCloser, including messages, prompts, voice or text transcripts, and related metadata (“Interaction Data”), to help improve the performance and capabilities of our artificial-intelligence systems. To the extent possible, we remove or mask personally identifiable information from Interaction Data before using it for training or analytical purposes. We may use de-identified or aggregated Interaction Data to train, fine-tune, and evaluate our AI models, improve product functionality, and enhance system security and performance.Processing of Interaction Data is based on our legitimate interest (or, where applicable, reasonable business purpose) in improving our services. You may opt out of contributing Interaction Data for model improvement by contacting support@salescloser.ai. Opting out does not affect your ability to use SalesCloser.Model training and data processing may occur in Canada, the United States, or other jurisdictions with appropriate safeguards such as Standard Contractual Clauses or the Data Privacy Framework.Identifiable data is retained only as long as necessary to fulfill the improvement purpose and is then anonymized or securely deleted.Information we receive from Connected Platforms is not included in Interaction Data: we do not use data obtained from a Connected Platform to train, fine-tune, or improve our AI models.

In order to provide the services offered by our application, we may need to update user information associated with vendor accounts. This includes, but is not limited to, updating ad campaigns, ads, performance data, and related information. The updates may involve actions such as pausing or unpausing ads, modifying bid amounts, and adjusting targeting criteria. These updates can be initiated by the user either manually or automatically, depending on the user’s preferences and the functionality they choose to utilize within SalesCloser. By using our application and connecting it to vendor accounts, you consent to the updating of your information as described above. We will ensure that any updates made to your information are done in accordance with the applicable policies and guidelines of the vendors.
